Privacy Policy

Plain English, no legal walls. Here's how we handle your calls, bookings and information.

Privacy Policy Calls & AI Your rights

The short version

  • We answer calls with an AI assistant. It tells you it's AI.
  • Calls are recorded and transcribed. Our AI receptionist tells you so at the start of the call.
  • We use your information to answer you, book work and run our business.
  • We don't sell it. We don't share it for ads.
  • You can ask to see, fix or delete your information. Email or call us.

Privacy Policy

Effective date: October 9, 2026 ยท Last updated: October 9, 2026

1. Who we are

Bright Burrow, also called Bright Burrow Agentic Systems ("we," "us"), is run by Bright Burrow LLC. We're a small local studio in Elk Grove, California 95829. We set up AI front-office assistants for small trades and local service businesses.

  • Email: support@brightburrow.org
  • Phone: (279) 249-5269

2. What this policy covers

This policy covers how Bright Burrow itself handles information when you:

  • visit brightburrow.org,
  • call our business line, (279) 249-5269, including when you try Sarah, our AI receptionist, as a demo,
  • email us, or
  • book a call or become a client.

It does not cover our clients' customers. See section 10.

3. What we collect

We use the category names from California law so it's easy to compare.

CategoryExamplesWhere it comes from
IdentifiersName, phone number, email, business name, service addressYou, when you call, email or book
Commercial informationWhat you asked about, bookings, services we set up for you, invoicesYou, and our own records of work with you
Audio and electronic informationCall recordings, transcripts, AI call summaries, emailsYour calls and emails with us
Internet activityYour browser's IP address and basic browser details when our site loadsYour browser (see section 8)
InferencesNotes like "urgent" or "wants a callback Tuesday"Our AI assistant and our team, from what you tell us
Contact preferencesRequests not to be contacted, and when you made themYour calls and emails with us

Sensitive information: we don't ask for it and don't want it. Please don't share government ID numbers, card numbers, passwords or your device location by phone or email. We don't take card payments by phone. We don't use your voice to identify you (no voiceprints).

4. How we use it

  • To answer your call or email and get back to you.
  • To book, confirm and remind you about calls you asked for. Our assistant books through our scheduling provider, which puts the booking on our business calendar and emails you the invite. Booking needs your email address.
  • To keep a simple job log of inquiries and work, so nothing falls through the cracks.
  • To provide, support and bill for the services you buy from us.
  • To follow up on proposals you asked for.
  • To review calls and answers so our assistant gets better at helping you.
  • To keep records of requests not to be contacted, and honor them.
  • To keep our systems secure, meet legal duties and protect people's safety.

Our business line doesn't send text messages.

5. Calls, recordings and AI

The first thing you hear is our AI receptionist telling you it's an AI and that the call will be recorded. Our business line is answered by Sarah, our AI receptionist. Every call is recorded and transcribed, and an AI tool writes a short summary for our team. If you don't want to be recorded, hang up before you speak and email support@brightburrow.org instead.

  • What we capture: the audio, a written transcript, an AI summary with key details (like your name, callback number and what you need), your caller ID, and the time and length of the call.
  • Why: to answer your call, book calls you ask for, keep accurate notes, check quality and keep records.
  • Who handles it: our phone and AI receptionist provider runs the line, the assistant, the recording and the transcripts. Bookings go through our scheduling provider. Summaries and notes may go into our cloud email, calendar, and spreadsheet tools.
  • Sensitive details: after each call, our provider automatically removes common sensitive details it detects, like card, bank account and Social Security numbers, from the stored recording, transcript and summary. Automatic detection can miss things, so please don't share them.
  • How long we keep it: see section 9.
  • If we call you from our business line, we'll tell you at the start if the call is being recorded.

About our AI

  • Our assistant says it's an AI. It never pretends to be a person.
  • It doesn't quote final prices or promise arrival times without a person's OK. When a person is needed, it takes a message so one of us can follow up.
  • Most emails are drafted by AI and checked by a person before they go out. Booking confirmations and reminders are sent automatically by our scheduling provider.
  • We don't make outbound AI or prerecorded sales calls. If that ever changes, we'll update this policy first.
  • We don't use AI to make decisions about credit, housing, jobs, education or health care. Our assistant answers questions and takes requests. People make the calls that matter.

6. Who we share it with

We don't sell your personal information. We don't share it for targeted advertising. We haven't done either in the past 12 months.

We share it only with:

  • Service providers that run our tools for us:
    • Phone, AI receptionist, and call recording/transcription providers.
    • Scheduling, cloud email, calendar, and spreadsheet providers.
    • AI office-assistant providers (they help us draft replies and organize notes).
    • Website hosting and font delivery providers.
  • Professional advisers, like an accountant or attorney, when needed.
  • The government or others when the law requires it, or to protect someone's safety.
  • A buyer, if our business is ever sold or merged. They must honor this policy.

A note on our phone provider. Our AI phone provider may use de-identified, aggregated call data to improve its services.

Shine the Light. We don't give personal information to other companies for their own direct marketing.

7. Where your information is stored

Our providers store data on their own secure servers. Some call data may be processed outside the United States under our providers' data-transfer safeguards.

8. Our website

  • brightburrow.org has no forms, no analytics and no advertising pixels or cookies.
  • Our site loads fonts from a font delivery provider. When a page loads, your browser contacts that provider, which receives your IP address and basic browser details under that provider's own privacy policy.
  • Our website hosting provider may keep standard server logs.
  • Do Not Track and Global Privacy Control: we don't track you over time or across other websites, so there's nothing for these signals to turn off. If your browser sends one, we treat it as a request not to sell or share your information, which we don't do anyway.

9. How long we keep it

We keep information only as long as we need it for the reasons above, or as the law requires.

WhatHow long
Call recordings, transcripts and AI summaries1 year, then automatically deleted
Job log, emails, calendar entries and client records4 years after the last job
Requests not to be contactedAs long as needed to keep honoring your request

If you ask us to delete something sooner, we will, unless the law or an open job requires us to keep it.

10. Our clients' customers

When we set up an AI assistant for a client business, that business decides how its customers' information is used. We handle that information only on the client's behalf and following its instructions. The client's own privacy policy applies. If you're a customer of one of our clients, please contact that business directly. If you reach us by mistake, we'll point you to them.

11. Your choices and rights

Depending on where you live and the laws that apply, you may have the right to:

  • Know what personal information we have about you, where it came from, and who we share it with.
  • Get a copy of it.
  • Correct it.
  • Delete it (some exceptions apply, like records we must keep for taxes).
  • Opt out of any sale or sharing. We don't sell or share, but you can still ask.
  • Not be treated differently for using these rights.

We offer these to everyone, not just California residents.

How to ask (pick either): email support@brightburrow.org or call (279) 249-5269.

We'll confirm we got your request within 10 business days and answer within 45 days. If we need more time, we'll tell you why (up to 45 more days). To protect you, we'll confirm it's really you, usually by matching your phone number or email to our records. Someone you authorize can ask for you. We may ask for proof they have your permission.

12. Security

We keep information in password-protected business accounts with limited access. We use well-known providers and ask them to protect it too. No system is perfect. If a breach affects your information, we'll tell you as the law requires. If it affects a client's customers, we'll tell the client right away.

13. Children

Our services are for businesses and adults. We don't knowingly collect information from children under 13, and we don't sell or share anyone's information, including anyone under 16. If you think a child gave us information, contact us and we'll delete it.

14. Changes and contact

If we change this policy, we'll post the new version here and update the "Last updated" date. For big changes, we'll also email our active clients. We review this policy at least once a year.
